AI automation · meetings

Every meeting ends with decisions and tasks, not lost notes.

The encorp.ai meeting solution summarises every meeting, extracts the decisions and tasks and passes them to the task system or CRM your team already works in. It works with Microsoft Copilot in Microsoft Teams or with vendor-agnostic tools, and the rules on which meetings are recorded are part of the company AI policy.

The problem

The meeting ends, and the decisions stay in someone's notes.

Meetings take time, and the decisions stay in one person's notes. Minutes are written late or not at all, and tasks get lost before the next meeting.

The solution

From the meeting to the task in your system.

We build around the meeting tools and the systems you already use.

Training for the tools

Training for Microsoft Copilot in Microsoft Teams or for vendor-agnostic tools.

Recording rules

Which meetings are recorded and how the data is kept, as part of the company AI policy.

Meeting summary

After every meeting AI prepares a summary and lists the decisions separately.

Tasks with an owner and a due date

Every task is extracted with its owner and due date.

Handover to your systems

Tasks reach the task system or the CRM without anyone retyping them.

Measurement and improvements

We measure the solution against the baseline and improve it every month in AI Ops.

Before and after

What changes after every meeting

The meetings stay the same, but the decisions from them no longer get lost.

What does AI do with a meeting?

AI turns a meeting into a summary, decisions and tasks that reach the company's systems. After every meeting the solution prepares a short summary, lists the decisions taken separately and extracts the tasks, each with its owner and due date. Instead of someone writing minutes in the evening, or never writing them, the summary is ready after the meeting. Everyone leaves with the same picture of what was decided.

What matters is what happens next. The tasks do not stay in a document nobody opens; they are passed to the task system or the CRM your team already works in, depending on how it can be connected. The decisions from the meeting become work with a name and a date. If needed, the summary goes through approval by a person before the tasks are sent, and this is settled in the first version of the solution.

How is this different from encorp.ai's free tool?

The free tool shows the idea, and the service connects it to the company's systems. With the free meeting action items tool you paste a meeting transcript and get a structured summary with tasks, owners and deadlines. It is a good way to see what AI can do with one of your meetings before you decide whether you want more. The tool, however, works with one transcript that you paste in yourself, and it does not pass the tasks anywhere.

The service is the version for the whole company. It works with your meeting tools, without anyone copying transcripts, and passes the tasks to the task system or the CRM. It includes the rules on which meetings are recorded and how the data is kept, training for the team on the tools, and a pilot with real meetings measured against the baseline. After go-live the solution is supported and improved every month in AI Ops, with response within 24 hours.

How is meeting data protected?

Data is protected by rules agreed before the first recording: which meetings are recorded, who can see the summaries and how long they are kept. These rules are part of the company AI policy, not a separate note. Some meetings, such as personal conversations or meetings on sensitive topics, may not be recorded at all, and that goes into the rules too.

We work together with AI governance and the EU AI Act, so the recording and data rules do not stay with this project alone but become part of the overall AI policy, which is updated every month in AI Ops. When the team is trained on the tools, the rules are part of the training: people know what is recorded and why. The aim is for the solution to help meetings without creating a new risk for the data of the company and its clients.

How does this connect to the Encorp AIM method?

Meeting summaries can be a standalone project or part of a full AI transformation with the Encorp AIM (AI Implementation Method). The method has two tracks, depending on the tools that suit you. If your employees work in Microsoft 365, the team is trained to use Microsoft Copilot in Microsoft Teams. If not, we work with vendor-agnostic tools. In both cases the tasks reach the systems you already use.

Within Encorp AIM meeting summaries are often ready as the first quick win in the first month, by week 4, because the meetings already happen every week. As a standalone project they start with a review of your meetings and are quoted on request. The code, the model instructions and the deployment are yours, and the solution is measured against the baseline and stopped if it does not deliver.

Questions

Frequently asked questions

Do we need Microsoft Teams?
No. We also work with other meeting tools. If your employees work in Microsoft 365, you can use Microsoft Copilot in Microsoft Teams.
Which meetings are recorded?
Only the ones you have agreed on. The recording and data rules are part of the company AI policy and are agreed before the first recording.
Where do the tasks go?
To the task system or the CRM your team already uses, depending on how it can be connected.
Who checks the summary?
If needed, the summary goes through approval by a person before the tasks reach the system. This is settled in the first version.
Can we try it for free?
Yes. encorp.ai's free meeting action items tool shows the idea on a transcript of one of your meetings. The service is the version connected to the company's systems.
How soon can we start?
The first measurable results usually come within 2–4 weeks of the start. In Encorp AIM meeting summaries are often ready as the first quick win in the first month.
How much does it cost?
The price is on request. Standalone automation is quoted after the free process review, and in Encorp AIM it is part of the AI transformation package.
