AI automation · offers and CRM

More time for clients, less for offers and the CRM.

The encorp.ai solution for sales teams drafts offers from your CRM data and your text library and updates the CRM from emails and meeting notes. For every deal it suggests the next step and drafts the follow-up email, and the salesperson checks, approves and sends.

The problem

Salespeople write offers and fill in the CRM instead of selling.

Offers are pieced together from old files, the CRM is filled in by hand after every meeting, and follow-up emails are written from scratch. All of it slows down the reply to the client.

The solution

The draft is ready. The salesperson decides.

We build around your sales process, your offer templates and the CRM you already use.

AI assembles the draft from the client data in your CRM and from your text library.

CRM updates

CRM fields are updated from emails and meeting notes, with no retyping.

Follow-up emails

The solution drafts the email after the meeting, and the salesperson reviews and sends it.

Salesperson approval

AI sends nothing on its own. The salesperson checks, approves and sends.

Support after go-live

In AI Ops we support and improve the solution every month, with response within 24 hours.

What does AI take off the salesperson?

AI takes over the preparation around a sale, so the salesperson keeps the conversation with the client. The solution does three things: it drafts the offer from the client data in your CRM and from your text library, it updates the CRM from emails and meeting notes, and it drafts the follow-up email. For every deal it also suggests the next step.

Today salespeople piece offers together from old files, fill in the CRM after every meeting and write emails by hand, while the client waits. With the solution the salesperson starts from a ready draft and only checks, corrects and sends. You do not need to change your CRM: we work with the system you use, depending on how it can be connected. The solution is part of our AI business process automation service and is tuned to your templates, products and way of selling.

How does AI draft the offer?

AI prepares the draft by combining the data on a specific client with the texts your company already uses. At the start we look at the sales process and the offer templates and organise a text library: descriptions of products and services, terms and standard paragraphs. The client data, such as the need, the contact and the stage of the deal, comes from the CRM.

The draft therefore follows your template and your language, not generic text. The salesperson opens it, corrects what is needed and sends it. When a section needs judgement, such as a discount or a special term, the solution leaves it to the salesperson. The text library stays yours and grows when new products or terms appear. In the first week we also agree the metrics we will measure success by, for example the time from the request to the offer being sent.

Will AI send offers and emails on its own?

No. AI prepares the drafts, and the salesperson checks, approves and sends them. Nothing reaches the client without a person, because an offer is a promise made on behalf of the company and a mistake in it is expensive. Salesperson approval is built into the first version of the solution, not added later. The salesperson always sees the full text before it goes to the client.

Before it reaches production, the solution goes through a pilot with real deals under supervision. In the pilot we measure, for example, the time to offer. Every solution is measured against its baseline, and if it does not deliver, it does not reach production. We stop it and pick the next process. Solutions that work get support and improvements every month, with response within 24 hours. If your meeting notes get lost as well, see how decisions and tasks from meetings reach your systems.

How does this connect to the Encorp AIM method?

Offer and CRM automation can be a standalone project or part of a full AI transformation with the Encorp AIM (AI Implementation Method). As a standalone project it starts with a review of the sales process and is quoted on request. Within Encorp AIM it is one of the processes chosen at Gate 1 from the opportunity map. It is tested as a pilot project in phase 2, in weeks 5–10, and the solutions that pass go into production in weeks 11–12.

The same rules apply in both cases. The solution connects to the CRM you already use and sends nothing without the salesperson. The code, the model instructions and the deployment are yours, and after go-live AI Ops takes care of support, improvements and new processes. If you are not yet sure where to start with AI, the first step is the free AI readiness test.
