AI automation · new employees

New hires get up to speed without pulling colleagues away.

The encorp.ai onboarding solution gathers company knowledge in one place, answers the questions of new employees and delivers a checklist and documents for each role. Automated steps guide the new hire through the first weeks, and AI training by role starts in the very first week.

How do I request leave?

AI assistant

In the leave system. Here are the steps and the form.

Routine questions go to the assistant, the mentor keeps time for what matters.

The problem

The same questions, to the same colleagues, with every new hire.

Every new employee asks the same questions, and experienced colleagues spend hours answering them. Documents are scattered, and onboarding steps get forgotten.

Each role gets its own automated checklist with the steps for the first weeks.

Documents by role

The documents a new hire needs arrive automatically, according to their role.

AI training by role

From the first week the new hire learns how to work with AI in their role.

How does AI help with onboarding new employees?

AI helps by taking over the repetitive part of onboarding: answering the same questions, handing out documents and keeping track of the steps. First we gather the onboarding knowledge in one place: handbooks, rules, instructions and documents for each role. On top of it runs an AI assistant that answers new employees' questions from the company's documents. The new hire can ask at any time, without waiting for a colleague to be free.

Around the assistant we build automated steps. Each role gets its own checklist for the first weeks, and the documents a new hire needs arrive according to plan, without anyone sending them by hand. Experienced colleagues stop spending hours on the same answers, and the new hire knows what comes next. The solution is part of our AI business process automation service and is built around the documents and systems you already have. We connect it to your systems depending on what they allow.

Does the AI assistant replace the mentor?

No. The assistant takes the repeated questions, and the mentor focuses on what matters: working in the team, judgement and the questions the documents do not answer. When a new hire asks how to request leave or where a document is, the assistant answers from the handbook instead of a colleague interrupting their work. The typical questions of the first weeks repeat with every new person, so the assistant takes exactly those, not everything.

The assistant answers from the knowledge we gather together with you, so the project starts by putting the documents in order. If a question needs judgement or touches something that is not written down, it stays with the mentor or the manager. People stay in the process where they are needed, and the mentor gets more time for the new colleague, not less. Knowledge is not a one-off task: when a rule or a document changes, the assistant has to answer from the new version, which is why updating it is part of the support.

What does a new hire learn in the first week?

In the first week the new hire works through the checklist for their role and through AI training by role. The checklist lays out the steps: the company rules, the documents for the role, the meeting with the mentor. The training shows how to work with AI in their specific role, with examples from real work rather than generic exercises. The aim is for the new hire to use AI safely and usefully from their first tasks.

Training by role follows the approach of AI training for companies: common foundations for everyone and practical tasks by department and role. It is also available as a service of its own for the whole team. The new hire starts working with AI the same way as their colleagues, instead of learning alone whenever they find the time. The checklist and the documents are updated when the role or the process changes, so every next new hire gets the same clear picture.

How does this connect to the Encorp AIM method?

Onboarding new employees can be a standalone project or part of a full AI transformation with the Encorp AIM (AI Implementation Method). As a standalone project it starts with a review of onboarding and is quoted on request. Within Encorp AIM it is often a good fit for the first quick win, which comes by week 4, because the knowledge already exists and only needs to be gathered in one place.

The same rules apply in both cases. Before the build we agree the metrics and the baseline, for example how much time experienced colleagues spend on repeated questions. If the solution does not deliver, it does not reach production. The code, the model instructions and the deployment are yours, and after go-live AI Ops supports and updates the knowledge and the steps every month, with response within 24 hours. If you are not yet sure where to start with AI, the first step is the free AI readiness test.
