AI invoice automation from encorp.ai takes in documents from email, Google Drive or manual upload, extracts their data and sorts incoming and outgoing invoices. Uncertain cases go to a person for review, and the finished data flows into the ERP or BI system you already use.
The uncertain field waits for a person before the data reaches your ERP.
Accountants lose hours opening emails, retyping amounts and sorting documents. At the end of the month and the year the workload piles up, and manual entry brings mistakes.
We build around the documents and systems you already have. You do not need to change your ERP.
Invoices arrive by email, Google Drive or manual upload and join one shared flow.
AI reads the supplier, number, dates, amounts, VAT and line items and puts them in structured fields.
Each invoice is recognised as incoming or outgoing and goes down the right path.
Uncertain cases stop for review by one of your people before they enter the system.
The finished data flows into the system you already use.
In AI Ops we support and improve the solution every month, with response within 24 hours.
People stay in the process, but they now check instead of retyping.
| Step | Today | With automation |
|---|---|---|
| Intake | Every email is opened and the document moved by hand | Invoices come in on their own from email and Google Drive |
| Entry | Amounts, numbers and dates are retyped into the system | Data is extracted automatically into structured fields |
| Sorting | A person decides where each document goes | Incoming and outgoing invoices are recognised automatically |
| Control | Every document is reviewed in the same way | Attention goes to the uncertain cases |
| Month end | The work piles up in the last few days | Documents are processed as they arrive |
The first measurable results usually come within 2–4 weeks of the start.
We look at your documents, channels and systems and agree how we will measure success.
We tune the extraction to your documents and connect it to your ERP or BI system.
We run the solution on real documents under supervision and measure it against the baseline.
Solutions that work get support and improvements every month.

AI invoice automation is a solution that takes over the routine part of document processing: it receives invoices, reads the data in them and passes it to the system your company works in. Instead of someone opening every email and retyping amounts, AI extracts the supplier, number, dates, amounts, VAT and line items and arranges them in structured fields.
The difference from ordinary scanning is that the solution does not just turn a document into text. It recognises what each field means, tells incoming invoices from outgoing ones and stops when it is unsure. Those are exactly the cases that go to a person for review. Your team stops retyping and checks only what really needs judgement. The solution is part of our AI business process automation service and is tuned to the documents you actually receive.
The solution makes the most sense where invoices are many, repetitive and take up the time of people who have more valuable work to do. Typical examples are accounting firms that handle documents for many clients, trading companies with a large flow of supplier invoices, and finance departments that want this data in their BI dashboard.
If you have few invoices, manual processing may remain the better deal. If decisions need judgement that cannot be written down as rules, or if a mistake is expensive, AI works alongside a person who approves the result. That is why we start with a review of the process: we assess volume, cost and risk and tell you honestly whether automation is worth it for you. The call is free and takes 30 minutes, and afterwards you know whether it makes sense to continue.
Accuracy is protected by a human check built into the first version of the solution. AI does not decide everything on its own: when a document or field is uncertain, the invoice stops and goes to one of your people for review before it enters the system. Unclear cases do not reach the ERP unnoticed, and the review is aimed at the documents that need it.
Before it reaches production, the solution goes through a pilot with real invoices under supervision. In the first week we agree the metrics we will measure success by: time, cost and errors. Every solution is measured against its baseline, and if it does not deliver, it does not reach production. We stop it and pick the next process. Solutions that work move to AI Ops, where we support and improve them every month, with response within 24 hours.
Invoice automation can be a standalone project or part of a full AI transformation with the Encorp AIM (AI Implementation Method). As a standalone project it starts with a review of the process and is quoted on request. Within Encorp AIM it is one of the processes chosen at Gate 1 from the opportunity map, moving from the first quick win by week 4 to solutions in production in weeks 11–12.
The same rules apply in both cases. The solution connects to the systems you already use. The code, the model instructions and the deployment are yours, and after go-live AI Ops takes care of support. If you are not yet sure where to start with AI, the AI readiness test shows where your company stands today.
